Reporting to the Chief Executive Officer (CEO) and the Group Chief Financial Officer (CFO), you will be responsible for providing comprehensive executive support to the CEO and CFO, including managing calendars, meetings, travel, expenses, confidential communications, maintaining records compliance and preparing reports, presentations, and corporate materials. You will also have responsibility for overseeing daily office operations at Jardine House, managing vendors, and coordinating local and international events. In addition, you will also support corporate administration, including sponsorship trust management and assistance with communications and marketing tasks.
Duties & Responsibilities:
Provide proactive, confidential executive assistance to the CEO and CFO.
Coordinate and prepare meetings, including agendas, documentation, minute taking, and follow ups.
Draft, edit, and produce correspondence, reports, presentations, and other materials.
Maintain and update confidential spreadsheets, databases, and corporate information.
Manage executive calendars, travel arrangements, expense reporting (Concur), and daily workflow.
Serve as a primary point of contact for internal and external stakeholders, always ensuring professional communication.
Conduct research, compile data, and prepare executive-level reports as required.
Oversee day to day operations of Jardine House, including reception, facilities, maintenance, security, and office supplies.
Manage office vendors, equipment, and service providers to ensure a professional working environment.
Coordinate employee and client events (local and international), including budgeting and logistics.
Maintain compliance with records management policies, including filing, archiving, scanning, and shredding.
Support the administration of the company's sponsorship trust, including budget tracking and reviewing applications.
Assist with corporate communications, marketing material preparation, and other ad hoc tasks.
Requirements
Bachelor's degree or relevant post secondary secretarial/ administrative training preferred.
Minimum 5 years' executive level administrative experience, ideally within insurance or a high volume professional environment.
Advanced proficiency in Microsoft Word, Excel, and PowerPoint (70 wpm typing speed).
Ability to work with specialized software, including Mail Merge, Concur, Policy Tech, Virtual Boardroom, and InDesign.
Exceptional communication skills and customer service orientation.
Strong organizational skills, attention to detail, and the ability to manage multiple priorities under tight deadlines.
Demonstrated discretion, professionalism, and ability to handle sensitive information.
