Our client, Twelve Securis, formed from the merger of Twelve Capital and Securis Investment Partners, is a leading, founder-led business and one of the largest, most experienced insurance-focused investment managers globally. With offices in London, Zurich, Munich, Bermuda and Tokyo we manage in excess of USD 9 billion in assets primarily in Catastrophe (Cat) Bonds and other Insurance-Linked Securities (ILS). This position is offered on a 50% basis. The working pattern will generally consist of shorter days spread across four to five days per week to ensure consistent presence and coverage during core business hours. Final working hours will be agreed with the successful candidate, balancing operational needs with reasonable flexibility. Applicants should be comfortable with a schedule that prioritises coverage during core hours. Duties & Responsibilities: • Manage the main office phone line and front desk reception. • Welcome and assist clients and visitors. • Organise and coordinate complex business trips. • Arrange meeting rooms, catering, restaurants, and hotel reservations. • Manage office supplies, equipment, and inventory. • Coordinate mail, deliveries, and courier services. • Liaise with the landlord and oversee office maintenance and facilities. • Coordinate cleaners and external service providers. • Plan and manage internal and external events. • Support HR administrative tasks (onboarding, office access, employee support). • Ensure health & safety compliance, including first aiders and fire evacuation administration. • Work closely with the London and Zurich Office Management teams to deliver consistent, high-quality Group Office Management support. Minimum Qualifications, Skills & Experience: • Previous experience as an Office Manager, Administrative Assistant, Executive Assistant, or in a hospitality or travel management role is strongly preferred. • Highly organised with strong attention to detail. • Excellent communication and interpersonal skills. • Demonstrated ability to manage multiple tasks and priorities. • Proactive, reliable, and service-oriented. • Team-oriented, with a proactive, positive approach to tasks. • Excellent command of English both written and spoken. • Proficiency in Microsoft Office applications (Outlook, Word, Excel) and general office technology. • Ability to coordinate with internal and external stakeholders, including vendors, service providers, and global office teams. • The right to work in Bermuda.
