We seek a qualified, highly motivated, and experienced professional to work in a supportive but demanding environment The successful candidate provides a professional secretarial and administrative service in the Laboratory. They are the first point of contact service on behalf of the Laboratory Manager or the Pathologist, which may take the form of telephone contact or email. Key responsibilities include: Provides a first point of contact and oversees correspondence on behalf of the Department, Laboratory Manager and Consultants Takes the initiative to manage matters within own personal knowledge, or escalate to the appropriate department or personnel Responds to secretarial requests under clear direction, making judgements about urgency and level of response Manages calendars of the Laboratory Manager, Chief of Pathology and department meetings Organizes and takes minutes for formal and informal meetings Maintains and circulates contact list, MEMOs, agendas, and meeting documents Supports office process including preparation and submission of requisitions through accounts payable and other departments Ordering, receipt and distribution of goods, stationery, and equipment Provides all administrative support to department including filing, typing and record keeping Assists community physicians' offices with document distribution Transcription of various medical documents Arrange patient overseas referrals and manage FedEx transport of clinical material Provides secretarial coverage for the department in the absence of other secretarial support Qualifications & Registration required: Secretarial diploma or equivalent qualification in office administration Three years secretarial/ administrative experience Displays excellent verbal and written communication Competent in the Microsoft Suite applications (Outlook, Word, PowerPoint and Excel) Medical Terminology will be an asset Knowledge of AS400, and an EMR is advantageous.
