The Executive Support & Engagement Coordinator provides senior level executive and business coordination support. This role enables effective leadership cadence, operational coordination, and client engagement support though structured administration, travel and meeting logistics, documentation, and management of the Company's CRM platform. Provide high-quality executive support to senior leaders, including calendar management, prioritisation, and coordination across multiple stakeholders. Coordinate travel arrangements ensuring seamless itineraries and forward planning Prepare meeting materials, presentations, correspondence, and track follow-up actions to support effective leadership decision making Coordinate leadership and operational meetings, ensuring smooth scheduling, logistics and continuity of activities Lead the end-to-end logistical planning and execution of market events, stakeholder functions and client engagement activities ensuring high-quality coordination and delivery Manage event logistics including vendor coordination, budget tracking, and invoice processing in line with internal processes Support the implementation of structured approaches to stakeholder and client information management including CRM-related processes Maintain accurate records of stakeholder interactions and ensure information is organised and accessible Support the preparation for client meetings by coordinating materials and relevant background information Collate feedback following events and engagement activities, capturing insights, and supporting continuous improvement Act as a key point of coordination between leaders, teams and external stakeholders maintaining professionalism and discretion Work collaboratively within the administration team, supporting shared responsibilities to ensure continuity of operations
7-10 years senior administrative experience in a fast-paced corporate environment supporting leadership or externally focused teams; re/insurance or financial services experience preferred.
Proficiency in Microsoft 365 with strong skills in calendar management, presentation preparation, and data tracking
Strong organisational and planning skills, with the ability to manage competing priorities and support multiple senior stakeholders
Experience coordinating meetings, events, or business activities with a high level of attention to detail
Excellent interpersonal and communication skills with ability to build effective relationships with stakeholders
Demonstrated ability to manage logistics, follow through on actions, and maintain structured records or processes
High degree of professionalism, discretion and sound judgement when handling sensitive or confidential information
Experience supporting the use of systems or tools to manage information (e.g. CRM or similar platforms)
Proactive, solutions focused mindset with a strong sense of ownership and accountability
Ability to work both independently and collaboratively within a high-performing team
Demonstrates flexibility and adaptability, with the ability to respond effectively to changing priorities and business needs
Requirements
