Bermuda College is hiring a We are seeking an Events, Rooms and Communications Coordinator (ERCC) to play a central role in this initiative. In this pivotal position, the ERCC will be responsible for managing events service to enhance the College's engagement with its current renters, and engage new commercial entities who may be interested in holding their events on our campus. The role will involve managing a diverse range of events, from large-scale symposia and conferences to meetings arranged by internal colleagues and external clients.
As business development will be essential to the role, the ERCC will engage and collaborate with the Chief Financial and Business Development Officer, and the College's marketing consultants to facilitate regular and special rental opportunities by actively promoting the College's facilities. Bringing innovative ideas and a strategic vision to meet specific targets around revenue and event bookings is a key component to this initiative.
Will work with a diverse range of internal and external stakeholder to ensure events run smoothly; providing customers with the ideal venue experience from the point of initial enquiry through to post-event support.
Will be the primary contact for routine bookings and also help to foster relationships with key clubs, agencies, clients, and community groups to build long-term partnerships with Bermuda College.
Will work closely with clients to understand their unique needs and oversee all logistical aspects and bespoke services.
Using the College's on-line event planning application - Planning Pod, the ERCC will develop detailed event timelines, communicate responsibilities, manage calendars, rental agreements and invoicing; create floor plans.
The College's annual Commencement exercise will be planned and coordinated by the ERCC in collaboration with the Registrar's Office, the Division Deans and the Facilities Director.
Will provide a range of communication services on behalf of Bermuda College and, in this regard, will manage all incoming calls to the College's Switchboard system, including recording automated messages, transfers, and responding to and providing general information to members of the public on functions, events, etc. on campus, as appropriate.
The ERCC will have proven event planning or coordination experience with a minimum of three (3) years' experience in either the management or coordination of events. Will be highly proficient working with an on-line event and/or rooms rental system, and successful in customer relations in a digital/on-line environment. An Event Management certification is desirable.
Will be highly organized and manage time effectively, juggling priorities, and staying calm under pressure. Verbal and written communication skills will be exceptional with a sharp eye for detail.
Must be pro-active with strong interpersonal skills to handle challenges with grace.
Having a background in hospitality management or coordinating public events is an asset.
On the occasion that a major event is held after regular business hours, the ERCC must have flexibility and a willingness to work evenings and weekends to fulfil the College's obligations to its clients' events.The ERCC will have proven event planning or coordination experience with a minimum of three (3)
