Executive Assistant, Office Administration Manager

The Executive Assistant, Office Administration Manager is responsible for overseeing a wide range of administrative functions across ARL, focusing on ensuring smooth operations and supporting various departments, as well as providing comprehensive administrative support to high-level executives (CEO, CUOs and other Executives) as required. This position will report directly into the CEO. Duties & Responsibilities: • Lead and supervise ARL's administration team, for which tasks and responsibilities include: o The organization and coordination of office operations and procedures o The scheduling, support and organization of complex activities such as meetings, travel, conferences, marketing events and department activities for senior executives. o The maintenance of files, databases, calendars and monitoring of deadlines for projects and assignments • Act as the personal Executive Assistant for ARL's CEO, President and CUO including o Organize and maintain the Executives schedules and travel arrangements o Act as a liaison with other divisions and outside agencies, including high-level staff such as CEOs, Presidents, SVPs o Assist with preparation of presentation materials • Prepare and draft letters, memoranda and other correspondence (include handling of confidential information) • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner Participate in other activities at the discretion of management Minimum Qualifications, Skills & Experience: • A bachelor's degree • Minimum of 10 years experience in a similar senior administrative capacity, which must include experience in a people or administrative management role Strong computer skills with proficiency in MS Word, Excel, PowerPoint and Outlook • High level of interpersonal skills to handle sensitive and confidential situations Strong attention to detail in composing, typing and proofing materials Excellent organizational and multitasking abilities, with a proven track record of managing multiple priorities effectively and meeting deadlines Excellent verbal and written communication skills Ability to take initiative and work well under pressure
