Office Administrator and assist with Volunteer Co-Ordination

The Office Administrator will be responsible for managing the general office administrative functions for the HAB, ensuring that all general office administration tasks are carried out accurately and in a timely manner, supporting the rest of the team and Executive Committee. In addition, in the absence of the General Manager undertake day to day tasks on their behalf. Assist with Volunteer Coordination - assist with administrative aspects of the organizations volunteer program including assisting with data input, scheduling, training and supervising volunteers Managing the HAB Office and fill in for the General Manager in their absence Assistant to the General Manager - Provide administrative and project support Office support and co-ordination: Support the management and Executive to make effective and efficient use of their time and resources, including helping with reports and presentations; co-ordinating the operational set-up for meetings HR: Maintain staff handbook and records; advising on leave and sick leave. Support with the organising of staff events IT and office equipment: Ensure the efficient running of the IT and other systems, liaising with IT users, our outsourced IT service provider, other contractors and suppliers when needed, and arranging servicing of office equipment when required. Across team administration: Assist other departments with administration of the HAB including assisting with breakfast and lunch in the Pink Café when required. Assist when necessary volunteers with the POS system (training for POS will be provided) Maintains files, records, applications, and other data concerning volunteer program. Maintains, and publishes guidelines, best practices, and procedures for volunteer program. Coordinates volunteer recognition and appreciation events and activities. Assists with volunteer schedules for the Pink Café and Candy Stripers, Gift Shop, Hospitality Cart and any other area required; assist with the co-ordination and assignment of volunteers especially Candy Stripers; Assist with the administration of the Candy Striper Program Bachelor's Degree in business Administration/Management or equivalent years of experience in related field. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Strong leadership skills with ability to motivate and encourage others. Proficient with Microsoft Office Suite 365 in particular Excel and related software. Knowledge of Point of Sales an asset Work experience in a volunteer organisation would be an asset

Requirements

References required. The successful candidate will be required to adhere to all aspects of the Hospitals Auxiliary and Bermuda Hospitals Board code of conducts. A Police Background check will be required prior to the successful candidate being offered the position. Bermudians and Spouses of Bermudians only
